And we go straight down this road, convinced that in any case human intelligence has its why: so for any problem, or even a simple greeting, we are there.

Basic configurations

To which industry does the activity belong

To begin with, let's determine what branch you are in — The industry of your business. We might choose "Health," for example, if your practice is dental or veterinary, or "Condominium Administration" if you manage apartment buildings. Of course, you can always opt for the "Generic Business" category, but specifying the industry allows MrCall's artificial intelligence to understand whether it should expect requests such as "I want to cancel an appointment" (for practices) or "I want to book a room" (for hotels). After all, precision is the courtesy of masters.

The voice of the assistant

You can then decide whether you want a male or female Voice, and which technology to use — Google or ElevenLabs. We also have OpenAI integration but at the moment the reading quality is too low so we don't give the option to use it. Our advice? Google is a bit "robotic" but reads almost everything perfectly. ElevenLabs more "human" but sometimes gets hung up. So it depends on the use case.

Messages of welcome

MrCall is not the usual boring answering machine that reads the standard message. No! Much more than an auto responder, MrCall's artificial intelligence creates a personalized greeting message based on the situation at hand.

First of all, MrCall knows that you can't go wrong with greetings: smart and polite. So, depending on the time of day, you can hear him give the "Good morning," "Good afternoon," or "Good evening" we deserve.

But that's not the end of the story: if they call to find out if you are open or closed, MrCall checks Google My Business for you and responds accordingly. And to loyal customers, the ones who always call, MrCall recognizes them by name and can't resist, "Nice to hear from you again!"

Don't think that there are only automatisms: you can choose how to present your business and decide how to close the welcome message. In addition, MrCall knows how to provide the right information at the right time.

But there's more! If you are called by the mystery guy with a hidden number, MrCall will not judge, but will politely inform you that if you want to be contacted or re-contacted, you must leave a phone number.

Who wouldn't want to have MrCall as an answering machine? It's like having your own personal assistant!

...and subsequent interactions

If the caller is kind enough to leave a message, MrCall is ready to act flawlessly. For example, if the caller wants to be called back immediately, MrCall will say that the request will be communicated to the appropriate person. If, on the other hand, the caller wishes to schedule an appointment, never fear, MrCall will do whatever is necessary to help. Now that's a smart telephone responder, isn't it?

In addition, if the caller wishes to speak with an operator, and MrCall is authorized to do so, MrCall will promptly and politely advise that he or she will be transferred to a professional who can help. But if the caller is in too much of a hurry to wait, MrCall will do its best to gather all the necessary information and send it to the appropriate department.

And if the caller asks to speak to a human being, but MrCall cannot forward the call, no problem! MrCall is always ready to respond with an elegant, personalized answer to let the caller know that the request cannot be fulfilled.

In short, MrCall is a real phone professional, ready to listen, answer and solve any problem. After the second message, MrCall will always respond appropriately and with a nice virtual smile.

The registration of contacts

What a wonderful world it would be if you could synchronize your contacts with MrCall via the MrCall iOS or MrCall Android app. Well, that's just the way it is! On the main screen of the app, just click on Synchronize Contacts. MrCall will take care of them like WhatsApp and many other apps do. And should MrCall find a person's own name in the "First Name" or "Last Name" fields, then it will use it! But what if I want MrCall to address my magnificent notary with a particular title like, well, like "Magnificent Notary"? No worries, just enter it in the "Nickname" — edit contact field on your cell phone and click "Add Field." What a brilliant solution, isn't it?

Does MrCall call contacts by name?

MrCall responds personally only on two occasions: when the caller introduces himself for the second time and has previously provided his name to our thoughtful assistant (with regard to calls from landlines, which may sometimes be shared by multiple individuals, it will be our responsibility to warn MrCall not to take note of callers' names); or when contacts have been synchronized with the mobile app, as described above.

How is MrCall activated?

Thanks to MrCall, you can have your public phone number and have people talk to it when you are unavailable, or maybe you just want an assistant to turn your calls around — here are three options to choose from:

  1. If you have a phone line and want MrCall to act like an "advanced answering machine," you can enable call forwarding from your number to the assistant's number in case you don't answer. As simple as drinking a glass of water (or a cold brew, if you're more sophisticated)

  2. If, on the other hand, you are a professional with a VoIP PBX, then you can connect MrCall to an extension on your PBX so that you have maximum control over incoming calls. You can decide to forward calls only during off hours or only to certain extensions. With providers like 3CX, this is all possible — just contact support and they will tell you how to do it

  3. If, on the other hand, you want your customers to call MrCall's number directly because you have assigned a toll-free number or migrated your old number, there is nothing to activate. Simply advertise the assistant's number and you're done.

How MrCall notifies you of the call

Have you ever wanted to know who is calling you without having to answer the phone? MrCall offers you a notification service that not only sends you a recording of the call, but also a transcript formatted to meet your needs. Imagine you are a restaurant and you receive a reservation. Here is the notification:

A little boomer but clear, no?

Notifications can be received via the MrCall iOS Mobile App and MrCall Android, or via e-mail, WhatsApp, or SMS. The mobile app is secure and inexpensive, but if you prefer email notifications, you can use this option to send notifications to multiple people or third-party systems. Notifications via WhatsApp, on the other hand, are very convenient because they do not require employees to install the app. The SMS option, on the other hand, is activated only upon request and is rarely used.

Whether via the mobile app or via e-mail, you will see a message with a link that will allow you to send a Whatsapp message to the caller. If you have the app or WhatsApp Web, clicking on the link will open the app and you will be able to send a pre-filled Whatsapp Send Message to caller, which you can customize to your liking. In short, thanks to MrCall, you will never miss an important call again and can manage your notifications intelligently.

Getting calls forwarded by MrCall

What kind of assistant would MrCall be if it didn't forward phone calls? Well, it does, and well too! Just access the Enable call forwarding section. You can ask MrCall to forward calls only during open or closed hours, and you can choose whether the caller should explicitly request forwarding or not. If someone asks to speak to an operator and MrCall has not been authorized, politely notify them.

If you enable forwarding, it will take care of MrCall to add catch phrases such as "If you stay on the line after leaving a message, I will put you through to an operator," and then "Please hold..."

Forwarding can be done on two channels: you can choose between a phone number or VoIP (only operator supported: MrCall, as you can imagine). And if you opt for VoIP, you can not only make calls from your assistant's number, but also have calls forwarded to several people at once. How? Simply by installing an app that acts as a SIP client and getting everyone on the call, with the first one to answer winning.

Setting up the conversation

Nothing could be easier. You can instruct MrCall on how to behave in any situation. Whether the caller is a new patient, an old friend — not simple questions and answers but a real set of instructions. Kind of like instructing your new employee: if a guy calls and wants this, this is the information you may need...

Connecting MrCall to your applications

Not just a nice voice that can chat: MrCall wants to know everything about the caller, and he wants you to have a record of how the call went.

Any system that offers access to external software (i.e., exposes "APIs") can collaborate with MrCall!

In short, with MrCall you can:

  • Enter the caller's information into memory before the conversation begins. This way MrCall knows everything about the caller: whether he is a customer, what subscription he has — everything you know!
  • Enter information into memory during the phone call. For example, are you a real estate agency and the caller wants information about a listing? MrCall downloads all the listing info and voila, he becomes an expert/agent, able to tell every virtue of the property in question
  • Enter the extracted information into your systems: at the end of the call MrCall will send whatever you want to your systems. There is a minimum of consulting needed for integration, but if you are geeky you can use Zapier!

Interacting with your caller after the call

Of course, knowing who called you is important. But it is equally important for those who have sought you out to know that you have not left a secret message in a cosmic vacuum. Remember that MrCall's mission is to build a communication bridge between you and your customers, so that information can flow freely in both directions!

You can opt for the more advanced plans, where an expert will listen to you and program your assistant to accomplish this noble feat, MrCall is ready to assist you in communicating with your clients, and anyone else who has sought you out, in any way possible...

SMS and Whatsapp messages to callers

Notifications to the caller can be sent via Whatsapp or SMS.

And not only that, you can choose between two types of messages. One for those who interacted with the assistant and another for those who interrupted the call when the assistant started talking. For example, a caller who left a message might receive a message such as, "Thank you for leaving a message, we will contact you soon. Remember that you can make or change appointments on our great site mysite.co.uk." But if you did not interact with the assistant, you might get a message like, "Thank you for calling. If you would like to be contacted again, please leave a message for the assistant and we will get back to you as soon as possible." (Yes, there are some people who are too popular to call everyone back...)

There is a third type of message for those who have made an appointment or reservation. In that case, MrCall sends a message with all the information you need. Basically like having a personal assistant always available!

Ah, one last thing: if you decide to use Whatsapp, you can choose between Meta's official API (more expensive, less flexible but secure) or the unofficial, integrated MrCall API (more convenient, but at risk of number blocking if notifications become too many). The choice is yours!
